These Terms & Conditions (“Terms”) form a legally binding agreement between IENX Expo (“Organizer”) and the exhibitor (“Exhibitor”). By signing the booking confirmation and making any payment towards stall/space, the Exhibitor acknowledges and agrees to comply fully with these Terms.

1. Booking & Confirmation

1.1 Exhibition space is allotted strictly on a first-come, first-served basis and shall be confirmed only upon signing the booking form and paying the required advance.
1.2 The Organizer reserves the exclusive right to allocate, reallocate, or adjust stall/space as per operational needs. The Exhibitor shall accept the final decision of the Organizer regarding stall location.
1.3 No verbal agreements or assurances shall be binding unless confirmed in writing by the Organizer.

2. Payment Terms

2.1 All payments made towards stall/space booking are non-refundable under any circumstances.
2.2 The Exhibitor is required to pay the balance amount on or before the due date specified in the booking confirmation.
2.3 In case of failure to make timely payments, the Organizer reserves the right to cancel the booking without notice. Any advance payment already made shall be forfeited, and the Organizer may reallocate the stall/space to another exhibitor.

3. Cancellation & No-Refund Policy

3.1 Once the booking confirmation has been signed, cancellations are not permitted.
3.2 If the Exhibitor chooses not to participate or withdraws from the exhibition for any reason, no refund, adjustment, or transfer of payment will be made.
3.3 In the event of cancellation by the Organizer due to unforeseen circumstances (natural calamities, government restrictions, or other force majeure events), the Organizer shall not be liable for any direct or indirect loss incurred by the Exhibitor.

4. Rights of the Organizer

4.1 The Organizer reserves the right to modify the exhibition layout, stall sizes, event schedule, or venue if required for safety, operational, or legal reasons.
4.2 The Organizer may refuse entry or participation to any Exhibitor found violating these Terms, misbehaving, or engaging in activities detrimental to the event.
4.3 The Organizer’s decisions regarding participation, stall allocation, payments, and cancellations shall be final and binding on all Exhibitors.

5. Exhibitor’s Obligations

5.1 Exhibitors must use the allotted stall/space strictly for displaying products or services mentioned at the time of booking.
5.2 Exhibitors are responsible for the setup, maintenance, and dismantling of their stalls within the prescribed timelines.
5.3 Subletting, sharing, or transferring stall/space to third parties without written approval from the Organizer is strictly prohibited.
5.4 Exhibitors shall ensure that their activities do not cause disturbance, obstruction, or harm to other participants, visitors, or the venue.

6. Liability & Insurance

6.1 The Exhibitor shall be solely responsible for the safety of their goods, materials, and equipment during transit, setup, exhibition, and dismantling.
6.2 The Organizer shall not be held liable for theft, loss, damage, accident, fire, or natural calamities affecting the Exhibitor’s property or personnel.
6.3 Exhibitors are advised to arrange adequate insurance coverage for their participation.

7. Indemnity

The Exhibitor agrees to indemnify and hold harmless the Organizer, its employees, and representatives against any claims, damages, or liabilities arising from the Exhibitor’s participation, including but not limited to property damage, legal violations, or personal injury.

8. Governing Law & Jurisdiction

This Agreement shall be governed by and construed in accordance with the laws of India. Any disputes arising in relation to these Terms shall be subject to the exclusive jurisdiction of the competent courts located in Rajkot, Gujarat.

9. Final Agreement

These Terms constitute the entire agreement between IENX Expo and the Exhibitor. No oral representations or prior agreements shall have any effect unless expressly incorporated herein. The Exhibitor, by signing the booking confirmation, confirms full understanding and acceptance of this policy.
